1. Scope & precedence
These Camp Registration Terms add to the master Terms of Service when you register yourself, or someone you have authority over (your child or a minor in your care), for a camp listed on Falken. They apply to every camp registration regardless of price (including free camps).
2. Falken's role vs. the organization's role
The hosting organization runs the camp; Falken provides the registration software and payment plumbing. Funds flow through Stripe Connect to the organization's connected Stripe account; the organization is the merchant of record for the registration transaction. Falken is not a party to the camp itself — Falken does not supervise, transport, instruct, lodge, feed, or treat anyone at the camp.
3. Authority to register a minor
If you are registering a minor (anyone under 18), you represent that you are the minor's parent or legal guardian, or that you have the parent or legal guardian's authority to register the minor and to consent to the hosting organization's waiver, photo, and medical-information practices on the minor's behalf. Where the camp involves under-13 athletes, the Children's Privacy Notice also applies.
4. Information you provide at registration
At registration you provide registrant identity, parent/guardian contact (when registering a minor), T-shirt size, optional dietary or medical notes (you choose whether to provide them), the executed waiver, and payment information via Stripe. 5. The waiver
Each camp may require its own waiver, presented and signed during the registration flow. The waiver is a contract between you (or the minor's guardian) and the hosting organization, not with Falken. Falken stores the executed waiver as a record-keeping convenience for the organization and provides a copy to either party on reasonable request.
6. Refund & cancellation policy (org-set)
The hosting organization sets its own refund, cancellation, no-show, and weather/illness make-up policy. The current policy is shown during registration and on the camp's landing page. Falken provides the technical cancellation flow but does not override the organization's policy. If you change your mind about a camp registration, the organization's policy is the one that decides whether and how much you get back.
7. Falken's narrow refund exception
Where Falken charges a separate platform service fee on top of the camp tuition, Falken refunds that fee only when Falken fails to deliver the registration service itself — for example, the platform was unavailable during the registration window and the organization elected to honor a late registration. This exception does not cover camp tuition, which is the organization's revenue and is governed by Section 6.
8. Chargebacks
Chargebacks initiated through your card issuer are processed by Stripe and are handled by the hosting organization as merchant of record. Initiating a chargeback before contacting the organization may delay resolution. Contact the organization first — its contact information is on the camp's landing page.
9. Minors at the camp
Once the camp begins, supervision, safety, range conduct, transportation, lodging, dietary accommodation, and emergency response are entirely the hosting organization's responsibility. Falken provides no on-site services and is not present at the camp. The organization's waiver and the organization's safety practices govern in-person conduct.
10. Camp photos
Photos taken by the hosting organization's photographers, coaches, or organizers may be uploaded to Falken and tagged to athletes. The Privacy Policy and the master Terms § 6 govern. Parents and guardians of minor athletes have specific rights described in the Children's Privacy Notice.
11. Communications during a camp
The organization may message the registrant, the registered minor (where appropriate), or the parent/guardian email through Falken before, during, and after the camp. Group chats and posts within the camp's organization context follow the master Terms § 10 communications rules.
12. Health & medical information
Dietary or medical notes you provide at registration are optional. If you provide them, the hosting organization sees them in the camp roster context. Privacy Policy § 3 (camp registration row) and § 8 (security) describe how this data is stored and protected. Falken does not provide medical services, medical advice, or first-aid. Medical care, including emergency response, is the organization's responsibility.
13. Disputes with the hosting organization
Disputes about the camp itself — delivery, instruction quality, refund decisions under the organization's own policy, conduct of staff, lost or damaged personal items, injuries — are between you and the hosting organization. Falken will provide reasonable technical assistance, including a copy of the executed waiver, the registration record, and the original transaction receipt, but Falken is not a party to those disputes and is not an arbiter.
14. Disputes with Falken (if any)
Disputes with Falken arising out of these Camp Registration Terms or the registration software are governed by the master Terms § 18 — North Carolina law, exclusive jurisdiction in state and federal courts sitting in Forsyth County, NC. Falken's narrow refund exception in Section 7 of this document is the only direct claim against Falken contemplated by these Camp Registration Terms.
15. Changes to these terms
Material changes to these Camp Registration Terms are notified to users with at least 30 days' notice and re-acceptance per the master Terms § 20. Camp-specific waivers and refund policies are not part of these terms — they are organization documents and may change independently per the organization's notice rules.
